What data do we collect and why?

Managing your registration, confirming your attendance, and providing logistical and content-related information about the Event

Data used: name, email, affiliation, country, speciality/role.
Legal basis: performance of a pre-contractual relationship / legitimate interest in organizing a professional scientific event (Art. 6(1)(b) and (f) GDPR).

Sending you commercial communications from MEDSIR (e.g., future events, publications, scientific initiatives)

Data used: name, email, affiliation, speciality/role.
Legal basis: consent (Art. 6(1)(a) GDPR), only if you have ticked the corresponding box.

Sharing your data with the Event’s sponsors (Lilly S.A.U., Pfizer S.L.U., and Biorce ESP S.L.) so that they may contact you for commercial communications and to explore potential future collaborations

Data used: name, email, affiliation, country, speciality/role, LinkedIn profile (if provided).
Legal basis: consent (Art. 6(1)(a) GDPR), only if you have ticked the corresponding box.

Recording video and photographs of the Event for institutional, scientific-dissemination, and promotional purposes (e.g., publication on MEDSIR’s website or social media)

Data used: image (no audio recording of attendees’ voices will be made).
Legal basis: consent (Art. 6(1)(a) GDPR and Art. 2(2) of the Act on the civil protection of the right to honor, personal and family intimacy, and image), only if you have ticked the corresponding box.

Consent for commercial communications, for data sharing with the sponsors, and for video and photo recording are independent and optional. You may accept any combination of them, and this will not affect your ability to register for or attend the Event.

Who will your data be shared with?

Registration platform provider: your registration data will be processed on our behalf by the online platform used to manage Event sign-ups.
Collaborators in the Event: your data may be transferred to suppliers who collaborate with MEDSIR in the organization of the Event (e.g., the company operating the premises), with whom MEDSIR will execute a contract for the processing of your data for the sole purpose of being able to carry out the Event and guarantee your attendance.
Sponsors: if you consent, your data will be shared with Lilly S.A.U., Pfizer S.L.U., and Biorce ESP S.L., each acting as an independent data controller for the processing they carry out after receiving your data.
Media and publication channels: if you consent to the use of your image, your photograph or recording may be published on the MEDSIR website (www.medsir.org), on the official MEDSIR social media accounts, and, where appropriate, shared with external digital media covering the Event. These media will act as independent controllers with respect to their own subsequent use of the image.
International transfers: We do not transfer your data outside the European Economic Area. Should this change (for example, due to the registration platform selected), we will update this notice accordingly and, where required, implement appropriate transfer safeguards (e.g., standard contractual clauses).

How long do we keep your data?

Managing your registration: up to 12 months after the Event (the time reasonably necessary to close the Event’s administration, e.g., issuing attendance certificates and resolving any subsequent queries or incidents).
Sending you commercial communications: as long as you do not withdraw your consent.
Recording and using your image: as long as you do not withdraw your consent and, in any case, as long as the material remains relevant for institutional and scientific-dissemination purposes.

Image and video recording at the Event

The Event will be recorded on video and photographed for institutional and scientific-dissemination purposes, including MEDSIR’s website and social media, and digital media. No audio recording of attendees’ voices will be made.

We will only record, use, and publish your image if you give your express consent by ticking the relevant box. If you do not tick this box, we will take reasonable steps to avoid using or publishing images in which you are identifiable (for example, by excluding you from published photographs or, where possible, by blurring your image).

You may withdraw your consent to the use of your image at any time by writing to dpo@medsir.org. Please note that the withdrawal will not affect the lawfulness of the use or publication made prior to the withdrawal and that MEDSIR cannot guarantee the removal of content that has already been reshared by third parties beyond MEDSIR’s own channels (e.g., through reposts on social media or external media).

What are your rights?

You may exercise your rights of access, rectification, deletion, restriction, portability, and objection, as well as withdraw your consent at any time (without affecting the lawfulness of processing carried out before withdrawal), by writing to dpo@medsir.org. You also have the right to lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, AEPD), www.aepd.es, if you consider that your rights have not been adequately addressed.

Gestionar tu inscripción, confirmar tu asistencia y facilitarte información logística y de contenido sobre el Evento
• Datos personales: nombre, correo electrónico, empleador, país, especialidad/rol.
• Base jurídica: ejecución de medidas precontractuales / interés legítimo en la organización de un evento científico profesional (art. 6.1.b y f RGPD).
Enviarte comunicaciones comerciales de MEDSIR (p. ej., próximos eventos, publicaciones, iniciativas científicas)
• Datos personales: nombre, correo electrónico, empleador, especialidad/rol.
• Base jurídica: consentimiento (art. 6.1.a RGPD), solo si has marcado la casilla correspondiente.
Compartir tus datos con los patrocinadores del Evento (Lilly SAU, Pfizer SLU y Biorce ESP SL) para que puedan contactarte con comunicaciones comerciales y explorar posibles futuras colaboraciones

• Base jurídica: consentimiento (art. 6.1.a RGPD), solo si has marcado la casilla correspondiente.
Grabar vídeo y fotografías del Evento y publicarlas en la web de MEDSIR, en los canales de redes sociales de MEDSIR y, eventualmente, en medios de comunicación digitales externos, con fines institucionales y de divulgación científica
• Datos personales: imagen (no se grabará la voz de los asistentes).
• Base jurídica: consentimiento (art. 6.1.a RGPD y art. 2.2 de la Ley Orgánica de protección civil del derecho al honor, a la intimidad personal y familiar y a la propia imagen), solo si has marcado la casilla correspondiente.
El consentimiento para comunicaciones comerciales, el consentimiento para compartir datos con los patrocinadores y el consentimiento para la grabación y publicación de tu imagen son tres consentimientos independientes y opcionales. Puedes aceptar cualquier combinación de ellos, sin que ello afecte a tu inscripción o asistencia al Evento.

¿Con quién se compartirán tus datos?

• Plataforma de inscripción: tus datos de registro serán tratados por encargo de MEDSIR por la plataforma online utilizada para gestionar las inscripciones al Evento.
• Colaboradores en la realización del Evento: tus datos podrán ser cedidos a proveedores que colaboren con MEDSIR en la realización del Evento (p. ej., empresa explotadora del local), con los que MEDSIR concluirá un contrato de encargo de tratamiento para que traten tus datos a los únicos fines de poder llevar a cabo el Evento y garantizar tu asistencia.
• Patrocinadores: si prestas tu consentimiento, tus datos se compartirán con Lilly SAU, Pfizer SLU y Biorce ESP SL, cada una actuando como responsable independiente del tratamiento que realicen tras recibir tus datos.
• Medios y canales de publicación: si consientes el uso de tu imagen, tu fotografía o grabación podrá publicarse en la web de MEDSIR (www.medsir.org), en las cuentas oficiales de redes sociales de MEDSIR y, en su caso, compartirse con medios de comunicación digitales externos que cubran el Evento. Dichos medios actuarán como responsables independientes respecto de su propio uso posterior de la imagen.
• Transferencias internacionales: No transferimos tus datos fuera del Espacio Económico Europeo. Si esto cambiara, actualizaremos este aviso y, en su caso, aplicaremos las garantías de transferencia oportunas (p. ej., cláusulas contractuales tipo).

¿Durante cuánto tiempo conservamos tus datos?

• Gestionar tu inscripción y asistencia: hasta 12 meses tras la celebración del Evento (tiempo razonablemente necesario para cerrar la administración del Evento, p. ej., emisión de certificados de asistencia, resolución de consultas o incidencias posteriores).
• Enviarte comunicaciones comerciales de MEDSIR: mientras no retires tu consentimiento.
• Grabar y publicar tu imagen: hasta que retires tu consentimiento y, en todo caso, mientras el material siga siendo relevante para fines institucionales y de divulgación científica.
Grabación de imagen y vídeo en el Evento
El Evento será fotografiado y grabado en vídeo con fines institucionales y de divulgación científica, incluyendo su publicación en la web de MEDSIR, en los canales de redes sociales de MEDSIR y, eventualmente, en medios de comunicación digitales externos que cubran el Evento. No se grabará la voz de los asistentes.
Solo grabaremos, utilizaremos y publicaremos tu imagen si prestas tu consentimiento expreso marcando la casilla correspondiente en el formulario de inscripción. Si no marcas esta casilla, adoptaremos medidas razonables para evitar utilizar o publicar imágenes en las que seas identificable (por ejemplo, excluyéndote de las fotografías publicadas o, cuando sea posible, pixelando o difuminando tu imagen).
Puedes retirar tu consentimiento para el uso de tu imagen en cualquier momento escribiendo a dpo@medsir.org. Ten en cuenta que la retirada no afectará a la licitud del uso o publicación realizados antes de la retirada y que MEDSIR no puede garantizar la eliminación de contenido que ya haya sido redifundido por terceros más allá de los propios canales de MEDSIR (por ejemplo, mediante republicaciones en redes sociales o medios externos).

¿Cuáles son tus derechos?

Puedes ejercer tus derechos de acceso, rectificación, supresión, limitación, portabilidad y oposición, así como retirar tu consentimiento en cualquier momento (sin que ello afecte a la licitud del tratamiento previo a su retirada), escribiendo a dpo@medsir.org. También tienes derecho a presentar una reclamación ante la Agencia Española de Protección de Datos (www.aepd.es) si consideras que tus derechos no han sido debidamente atendidos. En relación con tu derecho a la propia imagen, también puedes solicitar la tutela civil prevista en la Ley Orgánica de protección civil del derecho al honor, a la intimidad personal y familiar y a la propia imagen ante los tribunales competentes.
